Amazon Business Account Question

Does anyone use an Amazon Business account for their agency?  We are looking at setting this up due to the increased number of Amazon purchases and to ensure that no one is gaining personally with their own credit card perks.  If you do use, please let me know how it’s working and if you have developed a policy/procedure… I’d love to see it.

  1. Wabasha County recently started using an Amazon Business account. We are using our department credit card to pay for these purchases. We don't have a written policy at this time. What we have been doing for the human services side is the worker that is requesting something to be purchased through Amazon needs to get a credit card request filled out and signed by their supervisor and then the worker has to contact accounting to place the order since accounting is the only one authorized to make these purchases at this time. Accounting reviews the signed off credit card request, completes the order for the worker, e-mails the worker the approximate delivery date and cost of the purchase, prints the Amazon invoice and places it with the credit card request in a folder for all credit card purchases. The worker has to enter the SA if the purchase was client specific once the order is placed. Accounting pays the credit card bill monthly when the statement comes through.

  2. From Ramsey County:
    We really don’t have a policy/procedure. Amazon contacted us to set up a business account because many individuals were setting up separate accounts under Ramsey County. Employees use their p-cards for County purchases rather than their personal cards. I suggest Grant County gets in touch with Amazon. Our Amazon customer advisor is below:

    We set it up within the last few months and have found it helpful. No formal policy, but only certain people can use/order and they are set up as requisitioners on the account so you know exactly who has ordered. We have one of the agency cards tied to it. Email notices come through so you know when the orders have occurred and get the receipt instantly. Sounds like we had an oddity where Amazon tried to tie the personal account of the county card holder to the business account when it was set up, but that was fixed easily. We recommend doing it.
