Our Finance Director let us know that our CC issuer will not let the current set up for our Social Services card continue after this year.
Our card is housed in Finance, secured and tracked – has Wabasha County Social Services as the name on the card. It sounds as though the bank is wanting to get away from cards without an individual name listed. We are worried that if there is a person listed ON the card, if someone else needs to use it, the merchant will not allow the transaction.
How does your county handle their credit card? Are there individual cards issued to people with their names on the card? If so – do you always have that person making the purchases? Or do you have issues if others use the card? What is the process like if the person whose name is on the card leaves county employment? Is it a hassle to get a new card with a new name, etc?
Our agency credit card is listed with a supervisor's name and Watonwan County Human Services under it. We use a tracking log for workers to put the date used, vendor name, description, amount and contact worker. Workers are not allowed to take it out of the agency; it can only be used for online purchases. We haven't had any issues with our card. Kim
ReplyDeleteGoodhue County has individual cards for employees. We have found this process to be easy because if an item is on the card's purchased statement, we know who the card belongs to. Not all staff have a credit card, only those that have a high need for them. If staff who don't have a card need to purchase something, they are able to reach out to their supervisor to use theirs. They vendor we uses makes it very easy to turn cards on and off and request an increase in the card's limit. All staff know they are responsible for the purchases on their card and need to provide all receipts.
ReplyDeleteCass only has 2 cards. each with an individual's name, as well as Cass County A-T. We have one person do all the online ordering after an authorization form is filled out and signed by a supervisor and the director. We do allow employees to take it out of the agency under extenuating circumstances.
ReplyDeleteIn Wadena, we have two cards, both in my name with "Human Services Admin" (staff card) and one as "Child & Family" for client purchases. I have a letter listing each employee who is authorized to use the cards and it is kept in the wallet with the card. Staff have never had an issue where a merchant will not accept the card, we have been doing it this way for over 27 years. Staff can use the card anywhere except for on-line purchases, I make those on their behalf. Good luck. Amie
