Roundtable discussion 101 on various systems

What’s out there? Rose will provide a 101 overview of various systems, internet sites to access information & documentation.  A few systems to be reviewed are MNITS (not provider validation), Document Direct, MFIP Consolidated sites to access data, SWIFT EFT payment access, OSA SAFES reports, IFS Golden Wiki.

Roundtable discussion various reports

Presented by Mary Wacek, MN Prairie Accounting Supervisor & Carrie Kisor, Accounting Technician, Nicollet County

New to the team? Mary and Carrie will be discussing INFO PAC reports for MAXIS claims, CCDTF, County Confirmation Report, and the County Invoice. What is the purpose of these reports and how they can be used monthly? Will also discuss the use of Document Direct for the Internet vs INFO PAC in MMIS and how to export a PDF and Excel files.

Do the terms “Ducks on the pond”, “Can of Corn”, “Frozen Rope”, “Eephus” and “Uncle Charlie” ring a bell?  If not, plan on attending the DHS/FOD Updates session where, in addition to learning about obscure baseball references, we’ll provide the audience with information on legislative items from the 2021 Legislative Session which we’ve been tracking and have a county fiscal impact. We’ll also lay out our priorities for FOD which also involve counties along with some general updates.

Child Care Assistance Program – Billing, Finance & Reporting

SSTS & IMRMS Time Study Data-how to use it

Presented by: Rose Fischer, Brown County Fiscal Supervisor and Julie Spurgeon, DHS Financial Operations Division

Ready to hit a home run and clear the bench?  Julie will briefly describe the time study project and the data that is sent to the county fiscal supervisor. Rose will then present information on how Brown County condenses the SSTS (Social Services Time Study) and IMRMS (Income Maintenance Random Moments Time Study) Results Reports from DHS to highlight certain fields in order to get the “line up” in tip-top shape when it comes to random moment surveys. Rose forwards these condensed reports to the Income Maintenance supervisor, Social Services Supervisors and each program’s coordinator for review. Come and find out what she has to say about the process and outcomes she is noticing at Brown County.

Excel 101

Presented by:  Linda Muchow, Technology Specialist, Alexandria Technical & Community College. This is an interactive session. Excel files will be emailed out 1 week prior to conference.  Conference attendees should bring their own laptop or electronic device.

We will be using a User Select Budget Report to demonstrate how to create a Variance formula and then apply conditional formatting so you can visually see how your budget compares to what you should have spent/earned. Learn how to utilize an IF statement in the variance column to recognize a zero-based budget.  We will also create a table and add totals to the budget columns, look at how the subtotal feature can add totals to each department by year. Finally, this session will help you use a feature called Flash Fill to separate first and last names from a single column. Learn how to use custom number formatting to add dashes to Parcel numbers (or data similar to this).

Excel 102

Presented by: Linda Muchow, Technology Specialist, Alexandria Technical & Community College. This is an interactive session. Excel files will be emailed out 1 week prior to conference. Conference attendees should bring their own laptop or electronic device.

During this session, we will look at using a budget file and add in Account and Department Names using the VLOOKUP function. Then, create a PivotTable out of the data to summarize the information by account number/name. We will look at the benefits of using a SUMIFS (multiple criteria) statement to find the amount of a budget account for a specific month. Finally, we will explore how Macros can help aid in formatting worksheets, deleting columns, and changing header labels on commonly exported reports.

                                    Family First

Presented by: Erin Kintop, Financial Operations Division, Grants and Allocations Unit Supervisor, Sheena Lossing, Financial Operations Division, Title IV-E Grant Accountant, Beth Chaplin, Child Safety and Permanency, Title IV-E Unit Supervisor

 A group of DHS MVP’s will review Title IV-E claiming impacts for Counties as a result of the Family First Transition Act (FFPSA) implementation. Specific emphasis will be provided on changes to facility placement claiming due to Qualified Residential Treatment Placement (QRTP) requirements. All the change ups to the Child Foster Care Report, Northstar Reconciliation and general claiming guidance will be provided.

From Hire to Retire is the perfect place for members to begin and to continue education on PERA benefits.  The program is designed for new PERA members, those who are close to retirement, and everyone in between. The PERA pension is discussed in detail, including how it fits into an overall retirement plan. PERA’s pension benefit options, life changes that affect PERA, decisions members must make, and self-service tools are highlighted. Recommended for all PERA members.

You should walk away from this session with an understanding of what emotional intelligence actually is and how to start assessing your own emotional intelligence.

Emotional Intelligence Part 2

Part 2: How do you strengthen and utilize your own. This training will guide you through Part 2: How to strengthen and use your emotional intelligence both in work and in life. You can attend this session even if you did not attend Part 1, as long as you have a general understanding of Emotional Intelligence. This training would be better suited not called “training” in the traditional sense, because you will be given ample opportunity to self-develop through self-reflection, so you will be involved and leaning into the learning, not sitting back and being lectured at. You should walk away from this session with ideas on how to strengthen your own emotional intelligence.

Audit Updates

Lisa will be presenting the update on GASB 84 Fiduciary Activities. The standard provides guidance on how to record items that are held by one government on behalf of another. Counties in Minnesota generally have many  items that fall into this category. This presentation will be focused on what to look for, common activities, and what that means for financial reporting.
